How to invite colleagues and partners to join ProDeal

Overview

This document contains templates for the following scenarios:

  • How do I give my colleagues a heads up that we’re going to be using ProDeal? 

  • I’m ready to invite people to ProDeal.  Should I email them before I do?

  • What if colleagues or external parties ask me for more information? 

Use this to give colleagues a heads up about ProDeal

I am pleased to let you know that we will be using a new collaborative platform called ProDeal for managing and automating transactions.  

As we integrate ProDeal into our workflow, I want to make clear our path for successful adoption:

ProDeal will be a secure, single source of truth and allow us to seamlessly close transactions as well as drastically reduce the number of emails sent on deals.   Therefore, it is imperative that you commit to using ProDeal entirely for this transaction.

As we get started, the ProDeal team will be available to train and support our team whenever we need them.  Please give them your attention and provide feedback where you see fit.

All, we will be using ProDeal to manage both our underwriting due diligence/ closing checklist on this transaction.

Invites to ProDeal will go out shortly. If you need to add additional colleagues, click the teams page, find your team and click "Invite Users."

Once you have access, please start uploading documents to the deliverable folders instead of emailing them to us.  Counsel will also distribute loan documents directly through ProDeal.

All, we will be using ProDeal to manage both our due diligence and legal closing checklist on this transaction.

Invites to ProDeal will go out shortly. If you need to add additional colleagues, click the teams page, find your team and click "Invite Users."

Here is the 3 step workflow we will be using on this deal:

1) All parties will upload and download documents to folders in ProDeal instead of emailing them.

2) All parties will communicate "reply-all" style comments using the line item notes

3) Once documents are final, our office will close each line item (i.e. make the folder green) to indicate completion

Example 3:

Hi all - 

We are about to send everyone on this email invites to ProDeal.

Most of the folders in the room are currently empty but you'll start to see documents getting populated soon.
