How to Add Teams & Invite Users into Your Virtual Data Room

Facilitate team creation and management, as well as user invitation for collaborative work within the Virtual Data Room.

Where to find the teams page?

Click the Teams icon in the sidebar on your screen's lower left. Once you click the Teams icon, It’ll take you to the Teams Page.

Note: If you can’t see the sidebar, click the 3-bar menu found in the upper left corner of your screen. This button will hide or show the sidebar.

How to create a team?

  • Go to the Teams page, and click Teams from the lower left-hand sidebar of your ProDeal Data Room.

  • Click + Create Team in the top right corner.

  • Enter the Team Name, Abbreviation, and select a Team Type. The Team Type is not consequential to the functionality of the team, so choose the best fit for your given.

  • Click the dropdown menu to select Team Permission

  • Click Create team

  • Set the Access & Permissions for the new team

How to add users?

  • Go to the teams page, and select which team you want to add a user to.

  • On the selected team, click on the + Invite Users button found in the upper part of the team’s card.

  • Add the email addresses you want to add to the team (one by one, or simply copy-paste a list of emails separated with a ","). Check all the emails you've added - in case you need to edit them, please remove them and add the correct email address again.

  • On the Email Invitation Note, You can send a customized email note when sending an email invite.

  • Click Send invite email if you want to send only the email invite. Click the dropdown if you want another option.

Send Invite Email - This is the same process we used. Emailing them an invitation to a ProDeal room, and have them set up an account to access a ProDeal room.

Create Invite Link - The System will generate an invitation link and will be copied to your clipboard ready to send directly to the invitee to have them set up their account and access the ProDeal room.

Note: Once you have clicked the Create Invite Link button, ProDeal will not send an email invite, you will need to send the invite link directly to the person you invited.

Explanation of team roles

Users in a ProDeal room are organized into Teams. Teams have different roles, and the role that you choose determines what the users on those teams get to do in the room.

  • Host - Virtual Data Room Administration

  • Admin - View folders, documents, and Data Room administration

  • Guest - View, access only parts of the Data Room, upload, and download documents/folders

  • View and Upload - View, access only parts of the Data Room, upload and download documents.

  • View Only - View, access only parts of the Data Room, download documents, no upload allowed.

Note: As a room host, you can always control the downloading of documents/files in your Data Room.
