How to Set Up Your Virtual Data Room

Establish your Virtual Data Room on Prodeal to efficiently oversee and handle your transactional activities. Streamline the management process and ensure secure and organized data storage for optimal results.

How to set up a virtual data room on Prodeal

  1. Click the +Create Room button located just below the main navigation bar. A pop-up window will appear.

  2. Enter the Room Name in the provided field.

  3. Choose the Room View: Click the Data Room option. You can see a preview of the structured folder view on the right.

Optional: Use a Template If you have a standard structure, select a template from the "Create From Template" dropdown. Templates are optional but help speed up creation and ensure consistency.

πŸ’‘ Pro Tip: You can always switch the room view between Checklist and Data Room later in the room settings.

Room Structure

Virtual data rooms are meticulously built to feature a methodical indexed folder presentation. Every individual document and folder is allocated a unique identification number, thereby enabling seamless identification and retrieval through the utilization of search functions.

How to Add Folders

Add new folders to organize your documents:

  1. Click +Create new folder in the upper-right corner of your screen.

  2. A window will prompt you to name your new folder(s). You have the option to add one or multiple folders at once.

  3. Click Next to manage access permissions for your new folders.

  4. Click Create to finish.

πŸ’‘ Pro Tip: To create several folders quickly, copy and paste a list of names (one name per line) into a single text field.

Note: You can easily rename, delete, reorganize, or adjust the access settings for any folder after it is created.

How to Edit Folder Names

To change a folder's name:

  1. Hover your mouse over the folder you wish to rename.

  2. Click the 3-dot button that appears in the right side of the folder and click Rename.

  3. A pop-up window will appear. Type in the new name for your folder.

  4. Hit Save to confirm the change.
